Conducting a useful inventory
A file begins with an inventory, not a reassuring conclusion. Identify each document received, its origin, its date and the property to which it relates. Distinguish between available documents, requested documents and pending verifications. The exact contents of the file depend on the property and the project; your educational checklist does not replace that of the professionals managing the transaction.
The method in practice
Create a document index with property reference, document type, issuer, date, version, origin, and topic covered. An old property listing does not serve the same role as a land registry document; a renovation invoice does not automatically prove compliance. For each file, ask yourself which question it answers. In a fictitious example, two floor plans show different layouts: keeping them along with their dates is useful, but does not suffice to explain the discrepancy. Define a question for the relevant expert and mark the conclusion as pending. A legible copy allows work to proceed; the authenticity and scope of the document must be examined within their proper context.

Checking origin
ANCFCC offers a service to request, track and verify the authenticity of electronic title deeds. Use the official channel suited to the document rather than drawing conclusions based on its appearance. The authenticity of a document and the legal analysis of its contents are two distinct matters. Have this analysis carried out by the qualified professional handling the file.
The method in practice
Assign each verification to a role. The vendor provides the documents in their possession and clarifies their statements. The legal professional handling the deed examines questions of rights and representation; matters of measurement, condition, or town planning may require other specialists. Your tracking table must specify the question and the expected answer, not merely 'check with the notary'. Example: 'the floor plan shows a terrace, but which document establishes its status and usage?' A well-formulated question limits back-and-forth exchanges. It also allows a listing to be revised before unverified information becomes a repeated selling point with multiple buyers.

Checking documents against intended usage
A guest accommodation, conversion or renovation project must be reviewed specifically for the property concerned. List the usage, condition and document queries to be confirmed with competent contacts. Do not infer authorisation from a neighbour's activity or a previous listing. Your preparation role consists in making unknowns visible and facilitating verifications.
The method in practice
Before making a recommendation, carry out a consistency review across the listing, viewing, and file. For each key feature, find the corresponding evidence or reservation. Draw up two separate lists: elements presentable now and conditions preventing a firm conclusion. The fact that a document is missing does not always mean the property must be withdrawn; it means the dependent statement cannot be presented as established. Prepare a summary message for the client enabling them to understand this nuance. Finally, keep a record of the version sent. If a subsequent document contradicts the original, you will know which presentations need to be corrected.
