Recording what serves the relationship

A good follow-up record contains useful criteria, agreed steps, and the next contact. Avoid accumulating personal information unrelated to the search. The CNDP specifically highlights the principles of purpose limitation and data proportionality. In this exercise, use mock individuals and do not enter any real identity documents or real sensitive information.

The method in practice

Useful follow-up begins at the end of the previous meeting. Agree on what will be sent, through which channel, and when the client wishes to return to it. Distinguish between an internal reminder for your team and permission to re-establish contact. A file may require preparation today even though the client only wants an exchange on Monday. Record these two deadlines separately. If important new information arrives, examine its relevance in light of the agreed contact terms. A standard sequence must not override commitments made. Your message should recall the reason for the contact and provide the promised item, without multiplying objectives.

Fictional example

'Wants space for working from home' can be a useful criterion; a judgment on the client's personality does not replace a necessary factual record in the file.

Collect data for a specific purpose, not simply because a field is available.

Choosing follow-up that adds value

With each contact, provide an answer, relevant information, or a concrete action. Agree with the client on the appropriate follow-up channel and frequency. Repeated generic follow-up does not assist decision-making. If no new information is available, you can confirm the status of a request and the next agreed deadline without fabricating progress.

The method in practice

Verify the scope of each request. Answering a question about a property does not automatically authorise enrollment in general marketing campaigns. For direct marketing, examine the relevant CNDP rules, formalities, and the opt-out option. An exception linked to a prior commercial relationship must be verified regarding its conditions, not applied to any old contact. When an individual opts out of offers, update the relevant tools so that the refusal is respected by the team. Switching from an email to a direct message does not bypass this choice. In exercises, practise distinguishing between one-off requests, agreed follow-ups, and commercial campaigns.

Fictional example

'We are still waiting for the requested document. The next update remains scheduled for Thursday' is more useful than a message implying that the file has progressed.

Every follow-up message must answer one question: what does it offer the client?

Respecting requests and transferring data cleanly

If the client asks to modify their contact details or contact preferences, forward this request through the appropriate mechanism. Access, rectification, and objection are detailed by the CNDP, along with their terms. Do not confuse following up on a file with unrelated prospecting. Limit recipients of any transmission to the individuals concerned and check what you are sending them.

The method in practice

The follow-up note must enable a reliable handover. Set out the facts of the last interaction, open points, preferred contact channel and the next action. Avoid subjective judgments such as "difficult client" or "very hot prospect" lacking actionable description. If the client does not respond, record only the absence of a response; the cause remains unknown until established. When handing over, share what is necessary within an appropriate access framework. A colleague must be able to uphold commitments made without unnecessarily re-contacting the client or asking for information already received. The quality of follow-up is also measured by the consistency of this transmission.

Fictional example

A client no longer wishes to receive new offers via a given channel. Note and process this request; do not bypass it by using another list.

Professional follow-up also respects the wish not to be contacted again.
